Member and patron information about the Swim Centre Visitor Management System.

1. What is a Visitor Management System (CircleScan)?

A software-based technology scanning device that is used to streamline and assist the digital sign in process for members and visitors when entering a venue. This is achieved by having a staff member scan a member or visitor’s photo identification (for example, driver’s licence, passport, or government identification) through the CircleScan device and registering that person’s visit to a venue.

All photo identification must be validly issued and current. Expired identification will not be accepted.

2. Why is Council implementing CircleScan?

Council is implementing CicleScan to ensure that the safety and wellbeing of our members, visitors and staff remains paramount throughout each and every visit to our venues by using digitalised identification scanning & verification methods. The system will also be used to assist with evacuation & preventative safety management controls, venue access controls and site-specific contractor registration & management.

3. When is CircleScan going live?

The device will be installed and going live at each of our venues (Granville, Wentworthville and Merrylands Swim Centres) on Friday 29 November 2024.

4. What is the alternative to using CircleScan?

Council is encouraging the initial step of having all visitors create a member profile on our Point-of-Sale System. This will involve providing their full name, date of birth, address and contact details, as well as having a profile photo taken and being issued a membership card to sign in with and use on arrival each visit.

If a visitor declines to become a member, or refuses to have their photograph taken, they will be asked to scan their photo identification through the CircleScan device each and every time they visit one of our venues.

If any visitor refuses to scan their photo identification through CircleScan, they will be required to have a staff member physically sight a form of photo identification each time they wish to enter the Facility. The staff member must manually record all relevant personal information available from the photo identification provided.

Council reserves the right to refuse entry to any person who does not provide photo identification.

5. Where, and for how long, will my data be stored?

The identification data captured through the CircleScan device will be safely stored locally in NSW, Australia, within a highly secured Microsoft SQL Azure cloud-based server. The identification data will be stored for a period of 60 days in line with Council’s CCTV in Public Places Program, (except where an incident has occurred, and further investigation is required), and then managed through an auto delete software process.

6. Will my data and contact details be used for any other purpose?

No, all data captured from members and patrons that use the CircleScan devices to sign in at any of our venues will not be used for any other purpose other than to streamline and assist the digital sign in process for members and patrons when entering our venue.

7. Will my current membership be affected?

The VMS system will not impact any current memberships. Members can continue to scan their existing membership card to gain access to a venue. This includes Gold, Silver, Bronze or Blue membership holders and fitness passport holders. Members must continue to provide their membership cards on arrival and staff will register their visit as usual.

8. How do you become a member?

For anyone that isn’t currently a member, creating a profile will be quick and simple and can be done online (via the customer portal) prior to visiting one of our venues.

There are no charges or financial commitments to create a profile, and a membership card will be issued to you upon your first visit to a venue. You can then use the membership card to gain entry.
